Privacy policy for the application process

Application via form, email or in writing

If you apply for a specific position via our application form, via email or in writing, we will process your data on the basis of Section 26(1) first sentence of the German Federal Data Protection Act (Bundesdatenschutzgesetz) (hiring decisions).

We store the data for the duration of the application process. The data is also stored for six months following the completion of the application process so that we are able to defend against any claims that may be asserted. Your data is then deleted after this time unless any other retention obligations apply.

Consent to the further processing of applicant data

During the application process, you may be given the opportunity to give your consent for us to contact you in the future should any interesting job opportunities arise and to retain your data on a long-term basis for this purpose. If such retention is considered, we will contact you personally in advance in order to obtain your express consent to the data retention.

In this case, we will process your data on the basis of Art. 6(1)(a) of the General Data Protection Regulation (GDPR). If you consent, we will retain your personal data that you have provided over the course of the entire application process (for example, in the cover letter, CV, references, applicant questionnaire, interview) after the specific application process has ended. We will use this data in order to contact you at a later date and to resume the application process if you are considered for another position.

If you have provided "special categories of personal data" as defined in Art. 9 GDPR in your application letter or other documents you submitted during the application process (e.g. a photo that enables your ethnic origin to be determined, details about a severe disability, religious denomination etc.), your consent also relates to this data. However, we want to assess all applicants purely based on their qualification and as such ask that you avoid providing such information in your application as far as possible.

Your consent also applies to data about your qualifications and activities from publicly available data sources (in particular, professional social networks) that we have permissibly obtained during the application process. Your consent is voluntary and has no effect on your chances in the current application process. You may refuse your consent without specifying the reasons for doing so and without suffering any disadvantages as a result.

We will erase your data after a period of three years unless you again give your consent to the continued retention of your data. You may withdraw your consent at any time using the contact details specified under "Contact"; in this case, your data will be erased immediately following completion of the application process or after your withdrawal of consent accordingly.

Data transfer

Your data will not be passed on to third parties.

We are working with applicant management software manufacturer BITE GmbH, Resi-Weglein-Gasse 9, 89077 Ulm. The cooperation takes place on the basis of a contract on commissioned processing, which ensures compliance with all data protection requirements.

Otherwise, data is transferred solely in cases required by law, for example in the case of a statutory obligation to provide information to law enforcement agencies.
